The Assignment Changes

This Is an Asset-Protection and Process-Management Assignment.

When representing a housing provider, the agent's responsibility shifts from primarily helping someone find housing to helping an owner position and protect an asset while following a compliant process.

The agent must understand the owner, the property, the pricing, the marketing plan, the application workflow, fair-housing boundaries, move-in documentation, and the scope of the agent's services.

Your first job is to understand the property. Your second job is to understand the owner's objective.

Discovery

Understand the Owner and the Property.

  • Ownership and signing authority
  • Why the owner is leasing
  • Timing
  • Desired lease term
  • Current occupancy
  • HOA requirements
  • Pets
  • Utilities
  • Appliances
  • Furnishings
  • Parking
  • Condition
  • Prior rental history
  • What happens after tenant placement
  • Future sale or investment objectives

Verify Before You Market

Confirm What Is Actually True.

  • Recorded ownership
  • Signer authority
  • Trust / entity issues
  • Property profile or prelim
  • HOA rental restrictions
  • Minimum lease term
  • Move-in requirements
  • Parking
  • Pet restrictions
  • Required community documentation
  • Existing tenancy if occupied
  • Property-specific disclosures

Rental CMA

Price from evidence, not from hope. Analyze:

  • Recently leased comparables
  • Current active competition
  • Current demand where available
  • Location
  • Condition
  • Bedrooms / bathrooms
  • Square footage
  • Amenities
  • HOA / community
  • Pet policy
  • Days on market

Cost of Vacancy

The Highest Asking Rent Is Not Always the Highest Realized Return.

A housing provider may want to ask above the market-supported rent. Compare the additional monthly rent with the financial cost of additional vacancy.

Illustration — Not a Prediction

First-Year Gross Collected Rent

Difference per month
$400
At market-supported rent, leased without added vacancy
$57,600
At the higher asking rent, with 30 additional vacant days
$57,271

Holding out may collect about $329 less in year one.

Simple arithmetic based on the numbers entered. Vacancy length, market conditions, tenant behavior, and realized rent cannot be predicted.

Prepare + Market

Present the Property Professionally.

  • Property preparation
  • Photography
  • MLS entry
  • Showing plan
  • Access / lockbox plan
  • Application instructions
  • RentSpree where applicable
  • Open houses
  • Showing feedback
  • Price review

Screening

Consistency Over Improvisation.

  • Establish criteria before applications are evaluated.
  • Apply the stated criteria consistently.
  • Do not create new standards based on the person in front of you.
  • Do not discuss protected characteristics.
  • Do not promise the owner that a category of people can be excluded.
  • Do not promise an applicant they will qualify.
  • Document the process.
  • When uncertain, stop and ask management or legal.

The agent organizes the process. The housing provider makes the housing decision.

Applications → Selection → Lease

One Process. Every Applicant.

  1. Application received
  2. Follow approved screening process
  3. Review objective criteria
  4. Housing provider makes selection
  5. Communicate acceptance / denial appropriately
  6. Prepare lease package
  7. Signatures + funds + disclosures
  8. Move-in

Move-In + Handoff

Close It Out Cleanly.

  • Lease executed
  • Required disclosures complete
  • Funds handled according to company procedure
  • Move-in inspection coordinated
  • Property condition documented
  • Keys / access coordinated

Keep the Owner Relationship

A Landlord With One Property May Own the Next Five Listings You Have Not Met Yet.

  • 30-day check-in
  • Mid-lease relationship check-in
  • 90–120 days before expiration
  • Annual rental / equity / value review
  • Future investment conversation
  • Future sale conversation
